JOB POSTING:  Administrative Assistant

We are looking for an enthusiastic team player who can work independently in a small office.

Whistler Jonathan+Olivia men’s and women’s fashion lifestyle store and the new street and sneaker culture stores are seeking full time Administrative Assistant to join their fantastic team! This role is half Administration and half Bookkeeping; perfect for someone with exceptional attention to detail, organized  and has strong administrative/bookkeeping skills. The ability to problem solve and work independently in a team environment is essential.

About the Role:

  • Full-time, long-term and year-round.
  • Monday to Friday with some flexibility
  • Ski Pass 

The Perfect Candidate:

  • QuickBooks experience and knowledge is a prerequisite.
  • Experience with Hubdoc, Retail Pro / Magento desirable.
  • 2 years’ Experience working in an administration role within a retail business
  • Proactive with a “get it done” attitude and a willingness to pitch in where needed.
  • Friendly with a good sense of humour and the maturity to handle a range of situations.
  • Meticulous and thorough with exceptional attention to detail.
  • Ownership and pride in accuracy of your work
  • Takes initiative and is willing to share opinion.
  • Great communication capacity.
  • Above average MS Excel/Word skills.

Duties / Responsibilities include:

  • Perform Administrative and Clerical Duties, Personal Assistant to the President.
  • Follow up with vendor inquiries
  • Posting/filing purchase orders.
  • Prepare cheque runs for approval and maintain cheque register for AP.
  • Organizing and managing all Invoices, credit notes, bills, expenses, shipping forms to scan into our accounting system into Quick books
  • Tally staff hours for payroll
  • Oversees shipper / receiver to ensure that goods received at the store matches the vendor invoice and are accurately recorded in our inventory system
  • Liaises with UPS / Shipping company to ensure all additional costs (duties, taxes, brokerage fees etc) are correctly applied
  • Manages RA’s, ensures receipt adjustments, return to vendor transactions, credit notes are received and sales transactions are posted accurately and in a timely fashion
  • Ensures that inventory is counted per company schedules and the results of inventory counts are properly recorded
  • Answer telephone, redirect calls, and attend to office visitors.
  • Run errands (i.e. pick ip dry cleaning, client repairs and dropping off online shipping orders to Canada Post /UPS)

Fancy working in a shop surrounded by your favorite designers?  J+O is looking for hard working, enthusiastic and stylish people to join the J+O team.  Fashion retail experience and good knowledge of the designers sold at Jonathan+Olivia needed.

Minimum 2 years’ previous sales experience.  Weekends a must.
